The distinction from an invoice is the whole point. An invoice asks for money and shows an amount due; a receipt confirms money arrived and shows an amount paid. A document that shows a balance outstanding is not a receipt, which is why this one marks the total as paid in full and records the method and date.

That evidence is what makes expenses claimable. For a business expense deduction or a reimbursement, you generally need proof of the payment itself, not just the bill — the date, the amount, what it was for and who received it. A receipt missing the payment method is noticeably weaker if anyone ever queries it.

Receipts matter most in the awkward cases. Cash payments leave no bank trail at all. Rent between private parties is routinely disputed years later. Marketplace and private sales have no processor record to fall back on. In each of those, a dated receipt naming both parties is the only thing standing between you and someone's memory.

Keep the numbering sequential here too. If you issue receipts regularly, an unbroken series makes your records auditable and makes it obvious if one is missing. RCP-0001 upward works; the format matters far less than the consistency.
